Member Policies

At Proper Fitness, we are committed to providing a high-quality training experience built on professionalism, accountability, and respect for every member. These policies help us create a smooth, consistent, and supportive environment for all clients and coaches.

Membership & Services

Proper Fitness offers personal training, semi-private training, nutrition coaching, and select recovery and fitness services based on membership type or package purchased. Membership details, pricing, and included services will be outlined in each member’s individual agreement.

Memberships and sessions are non-transferable unless otherwise approved in writing by Proper Fitness.

Scheduling & Session Reservations

All training sessions must be scheduled in advance through our approved booking system or with the assistance of a Proper Fitness team member.

Session availability is based on coach schedules, studio capacity, and membership type. While we do our best to accommodate preferred times, specific time slots and coaches are not guaranteed unless otherwise outlined in writing.

Cancellation & Rescheduling Policy

We ask all members to respect our coaches’ time and the reserved session space.

  • Personal training and semi-private sessions must be canceled or rescheduled with at least 24 hours’ notice

  • Sessions canceled with less than 24 hours’ notice may be charged in full or deducted from the member’s package or membership allotment

  • No-shows will be treated as a completed session and charged in full or deducted from the member’s allotment

  • Repeated late cancellations or missed sessions may result in restricted booking privileges

Proper Fitness understands emergencies happen and may make exceptions at its sole discretion.

Late Arrival Policy

If a member arrives late, the session will still end at the originally scheduled time to avoid disrupting other appointments. Late arrival does not entitle the member to additional time, a partial refund, or a makeup session.

Membership Payments

All memberships, packages, and recurring services must be paid in accordance with the billing schedule outlined in the member agreement.

  • Membership dues and recurring payments are processed automatically on the agreed-upon billing date

  • Members are responsible for maintaining an active and updated payment method on file

  • Failed or declined payments must be resolved promptly

  • Proper Fitness reserves the right to pause scheduling, services, or membership access until outstanding balances are paid

Any promotional rates, special offers, or founding member pricing apply only under the terms stated at the time of purchase.

Refund Policy

All sales are final unless otherwise stated in writing.

Proper Fitness does not provide refunds for:

  • Completed sessions or services

  • Missed sessions

  • Late cancellations

  • Unused sessions within an active billing period

  • Partial use of a membership or package

If a member wishes to cancel recurring services, written notice must be provided according to the cancellation terms in their agreement. Failure to use scheduled sessions or membership benefits does not qualify for a refund.

Any approved exception will be made solely at the discretion of Proper Fitness.

Membership Freeze Policy

Membership freezes may be available for medical reasons, travel, or other special circumstances, subject to approval.

  • Freeze requests must be submitted in writing

  • A minimum freeze period may apply

  • Membership pricing, availability, or grandfathered rates are not guaranteed after an extended freeze unless stated otherwise in writing

Proper Fitness reserves the right to approve, deny, or limit freeze requests.

Cancellation of Membership

Members who wish to cancel an ongoing membership must provide written notice in accordance with the terms of their signed agreement.

Unless otherwise stated in writing:

  • Cancellation requests must be submitted by email to info@properfitnessco.com

  • Required notice periods still apply

  • Any scheduled payments due within the notice period remain the responsibility of the member

If a member is under a commitment term, early cancellation may be subject to additional fees or remaining balance requirements as outlined in the membership agreement.

Session Expiration

If sessions are purchased as part of a package or monthly membership, they must be used within the time period specified in the agreement.

Unless otherwise stated:

  • Sessions do not roll over indefinitely

  • Unused sessions may expire at the end of the billing cycle or package term

  • Expired sessions have no cash value and are non-refundable

Any rollover or extension is granted only at Proper Fitness’ discretion.

Coach Assignments

Proper Fitness strives to match members with the coach or coaching team best suited to their goals, availability, and training needs. Coach assignments may change from time to time based on scheduling, staffing, or operational needs.

Health & Medical Responsibility

Members are responsible for informing Proper Fitness of any injuries, medical conditions, physical limitations, pregnancy, or changes in health status before participating in training sessions.

By participating in services, members acknowledge that:

  • Exercise carries inherent risks

  • They are voluntarily participating in physical activity

  • They are responsible for communicating discomfort, pain, or health concerns during sessions

  • They should seek approval from a physician when appropriate

Proper Fitness reserves the right to modify or pause training if a member’s condition appears unsafe for exercise participation.

Studio Conduct

To maintain a professional, welcoming, and respectful environment, all members are expected to:

  • Treat staff, coaches, and other members with courtesy and respect

  • Arrive prepared for training

  • Wear appropriate workout attire and clean athletic footwear

  • Use equipment appropriately and as instructed

  • Respect the cleanliness and organization of the studio

  • Refrain from disruptive, abusive, unsafe, or inappropriate behavior

Proper Fitness reserves the right to suspend or terminate services for any member whose behavior is disruptive, threatening, unsafe, or inconsistent with the values of the studio.

Personal Belongings

Members are responsible for their own personal items. Proper Fitness is not responsible for lost, stolen, or damaged belongings brought into the facility.

Minors

Any minor participating in services must have a parent or legal guardian sign all required documents and agreements before training begins.

Photography & Media

From time to time, Proper Fitness may capture photos or videos within the studio for marketing, social media, or promotional purposes. We will always aim to be respectful of member privacy.

Members who do not wish to appear in photos or video content should notify Proper Fitness in writing.

Right to Refuse or Terminate Service

Proper Fitness reserves the right to refuse, suspend, or terminate services or memberships at its discretion for reasons including but not limited to:

  • Non-payment

  • Repeated late cancellations or no-shows

  • Violation of studio policies

  • Unsafe, inappropriate, or disrespectful conduct

  • Any situation that compromises the safety, culture, or operations of the business

Policy Updates

Proper Fitness may update these policies at any time to reflect operational, legal, or service-related changes. Updated policies will become effective upon being posted on our website or otherwise communicated to members.
